How hiring works in the DQF, step by step
From the driver's application to a complete driver file. Watch the walkthrough, then download the printable guide for your safety team. It runs under four minutes.
The driver and company in the video are samples. The screens are the real application.
Seven steps, in the order you do them
- The driver's application
The one thing the driver does. It gives you permission to run your pre-screening and yearly checks, and it files every form the DQF needs. Current drivers and owner-operators complete it too.
- You review it
Does this driver have the experience you want, the right CDL and a work history you like? The signed forms and photos are already filed.
- Conditional offer, then pre-screening
Make an offer that depends on your checks and a negative pre-employment drug test. Then order the MVR and the other reports you want.
- Hire in the system
Choose a start date. Hiring brings up the pre-employment drug test, the Clearinghouse full query and your random testing pool.
- Before a new hire drives
Five things must be done first. Each driver's Overview lists them in plain language.
- The first 30 days
Finish the rest of the file: the driving record and the safety history from previous employers.
- Stay on top of it
Reminders before a medical card expires, the yearly checks, and what to do when a driver leaves.
You decide who is qualified
The DQF keeps the proof in one place. It never decides for you. Every report, result and finding still comes to you to review and sign off.
